How to Book

1. PROVISIONAL BOOKING. As soon as you have selected your resort, accommodation and departure date, please call us on 01628 826699 or email info@ardmoreeducationaltravel.co.uk At this stage we will ask the approximate size of your party and Ardmore will hold a Provisional Reservation for you completely without obligation for 14 days, while we check availability. A confirmation of your option, together with a Booking Form will be sent to you.

2. FIRST DEPOSITS. A First Deposit of £50 per paying passenger, together with a completed booking form must be sent to confirm any booking.

3. SECOND DEPOSITS. Second Deposits of £100 per paying passenger is then due to be received by Ardmore no later than:

i) Coach trips: 6 months prior to departure
ii) Air trips: You will be advised of your payment schedule after confirmation of booking and receipt of the first deposit.

4. FINAL BALANCE. Final payment is due no later than 12 weeks before departure.

5. FINAL TRAVEL INFORMATION. Final details will be sent to you shortly before departure (subject to full payment being received by Ardmore as per above).

Group Leaders – What you need to know

Group Leader Inspection/Preview Visits
These visits are aimed at new group leaders or leaders booking to a new resort to help them to
familiarise themselves with the way we operate or gain knowledge of a specific resort or hotel.

Inspection visit
Group leaders who have booked a trip with a minimum of 40 full paying passengers are invited to join a free inspection visit of one of our resorts. In addition you can invite a companion at a concessionary price of £299.

• On an inspection visit you will be joining another school’s ski trip and choice of resort;
  accommodation is subject to availability.
• You will receive return coach transport from Dover to the resort and half board accommodation.
• You will be required to pay the cost of your lift pass and ski equipment hire (if these are
  required) and cover your insurance costs.

Preview Visit
We can also organise a preview visit if you are unable to join an Inspection visit to a particular resort. Based on a booking of 40 full paying passengers, we will arrange the following free of charge (based on 2 people):

• 2 nights accommodation on bed and breakfast basis (twin room) at or near your
  groups booked accommodation.
• 1 day lift passes for your chosen resort.
• Ski/Snowboard equipment hire at preferential rates.

You will need to organise your own transport; usually a weekend low-cost air flight
and hire car (we can provide details and help you book this).

 * Inspection or Preview visits only apply to the person signing the Booking Form and is not transferable to friends and colleagues.

Free Leader Places/Concessions:
We recognise the enormous amount of work and time that group leaders put into arranging a ski course and so we offer a 1:10 free place ratio for all groups travelling to our resorts.
  This may be increased to 1:8 free place for coach travel groups for a supplement of £18 per
paying group member (please contact us for supplement for air groups).
  An additional ‘bonus’ free place is given conditionally to coach groups only for 42 full
paying passengers upon payment of their final balance (based on a 48/49 seater coach group).

We offer very generous concessions to enable the group leader to bring their family skiing. Up to 3 members of their family may be included on the trip for half price!

• 2 concessionary places with a 34 full paying group.
• 3 concessionary places with a 40 full paying group.

  N.B: Family concessions are restricted by coach capacity when a bonus free place(s) has been taken. Half price is calculated from the basic student price, lift pass supplements for older students & adults as well as adult air flight and other option supplements must be added after discount. Children under 8 years cannot be included for ski instruction.
  Passengers travelling on concessionary places are not included in the count for free places.
  Concessions are available to the party leaders immediate family only and are not transferable to other members of the party.

Ski Coach Party Sizes
Prices are based on a minimum of 40 full paying passengers.

• Smaller group prices are available on request and supplements will be payable, please contact us for details and prices.
• Smaller groups can be merged to fill a coach during peak dates (subject to availability) so we can offer lower supplement charges during this time.
• Groups with 25+ paying passengers will be collected from their school or chosen destination; smaller parties may be required to make travel arrangements to a rendezvous point convenient for the main coach.

Additional Adults
Adults (18 years +) are very welcome to join your group for a supplement, please contact us for full details and conditions.
Piste Closure Guarantee
In the unlikely event that all ski lifts in your chosen resort/ski area are closed for 1 full day or
more, due to adverse weather/snow conditions, Ardmore will aim to transport you to the
nearest open resort within a practical travelling time.
  We will provide lift passes so that your ski course may continue at no additional cost to your group.
  In the unusual event that it is not possible/practical to transport you to another resort, Ardmore will compensate each group member for lost skiing time (either directly or through our insurers)
